As real estate agents, communication is a big part of our job. If we weren’t good at it, we wouldn’t be in this field to begin with. But having good rapport with people face to face doesn’t always translate to texts and emails. You may find yourself dealing with a client who prefers texts and emails to meetings and phone calls. If your clients prefer communicating in this fashion, that’s fine. Just make sure you’re professional about it.

Here’s a few guidelines to keep in mind.

Proper Language & Grammar- Don’t use abbreviated words and slang. Use proper capitalization and punctuation marks. Don’t play it loose and fast. Especially with new clients you’re not too familiar with. When first impressions are based on an email or text, think about how you want to come across. You only get one shot at a first impression!

Response Time- Be punctual. Especially with young millennials. One of the benefits of texting and email is quick communication. That’s why people use it in the first place. Also, if someone asks for info you don’t have on hand, let them know you’ll get back to them with what they need to know ASAP.

Follow Up- One of the biggest complaints of consumers is that their real estate pro is too busy to call them back. We understand that you are busy and that you have a lot of people who require your attention. But don’t let important calls slip through the cracks and don’t fail to follow up. It could end up being the difference between keeping and losing a huge client.

Know When You Need To Make An Actual Call- If you have major information regarding a client’s business, an actual phone call may be in order. Don’t send bad news with a text or email. Be there in person or on the phone to have a conversation and answer questions.

Mr. and Ms.- Use respect when addressing clients, especially when you first meet them. Don’t call a client by their first name in a text or email until you have developed a familiarity, or if you feel like it’s appropriate. It’s just disrespectful unless they invite you to. This is obviously different if your client happens to be your best friend from high school or your dad.

Stick to these simple rules for your texts and emails and you’ll do fine. Remember, it’s all about your client’s preference when it comes to communication. Follow their lead.
